The Finance Datamart is a secure, read-only database that provides access to detailed financial data. It enables departments to use their own report developers and analytics tools to build reports and dashboards tailored to their business needs.
What Information is Included with the Finance Datamart?
The Finance Datamart includes the following datasets which are updated daily with information from the prior day.
- UCD Faculty and Department Portfolio
- Provides information for project budget, commitments, expenses, budget balances, task status and award details where applicable.
- Transaction Listing
- Provides General Ledger (GL) journal information, displaying balances for commitments, obligations, and actuals. It enables developers to filter and analyze information by period and/or date ranges, journal attributes (Source, Category, Batch Name, Name, and Type), and individual Chart of Accounts (CoA) segments.
- PGM Master Data
- Provides sponsored award, contract, and project information including where:
• Awards, Funding/Budgets, and Projects are set up and configured
• Award and Project are linked
• Award and Budget are approved
• Invoices have been generated
Note: Transaction-level or line-item expenditure details are not included in this data source. - Chart of Accounts Segments
- Provides the complete set of COA segment values and hierarchies used across the campus financial and technical communities.
- GLIDE (General Ledger Interface Details Engine)
- Provides journal details from boundary systems including the source boundary system, status of transmission to Aggie Enterprise, and other data points that support reconciliation and audit processes.
The General Ledger (GL) summarizes journal entries for submission in Aggie Enterprise, while Project Portfolio Management (PPM) costs are not summarized and remain available in this extract for detailed reporting and analysis.
Department Requirements
Departments must meet baseline technical and security requirements before requesting access to the Finance Datamart. This includes:
- Staff with SQL or comparable technical expertise.
- Secure, university approved infrastructure for storing, querying and analyzing data.
Use & Governance
Departments using the Finance Datamart must sign a data use agreement (DUA). The DUA governs how the data may be accessed, used, protected and stored.
Key principles of the Finance Datamart DUA include:
- Department-only access - Data may not be shared with other departments, divisions, or campus platforms without prior approval.
- Purpose-specific use - Data must be used for the business needs described by the department.
- Security and sensitivity - Special procedures are required for data containing PII, salaries, or vendor information.
- Policy Alignment - All access must comply with university policy, including Data Administration Policy (320-40), which governs appropriate access, use, and stewardship of institutional data across the University.
Request Access to the Finance Datamart
If your department is ready to pursue access to the Finance Datamart:
- Review the Finance Data Use Agreement.
- Confirm your department has the appropriate infrastructure for storing, securing, and querying data.
- Complete and submit the Data Use Request Intake Form.
Your request will be reviewed by AdminIT, Finance, and Aggie Enterprise Governance. Approval is based on readiness, scope and compliance with finance and data governance standards.
After You Submit the Request
Each data use request follows a structured review and implementation process.
- Initial Review - AdminIT and Finance assess your business need and intended audience.
- Stewardship Review - Data stewards confirm policy alignment.
- Approval - Most requests are approved at the department level; complex requests may require escalated review.
- Implementation – If approved, access to the Finance Datamart is granted.
- Ongoing Oversight – Access to the Finance Datamart and adherence to the DUA is reviewed periodically.

- Is the Finance Datamart a replacement for Aggie Enterprise or Cognos?
- No. Aggie Enterprise and Cognos remain the primary and recommended tools for campus financial reporting. The Finance Datamart is designed to support specific, complex use cases that require custom or non-standard reporting.
- How do I know if the Finance Datamart is right for my unit?
- The Finance Datamart may be right for your unit if you have specialized analytical needs that extend beyond standard Aggie Enterprise or Cognos reporting. You will need to have internal developers or analysts with SQL (or similar) technical expertise, and secure, university-approved infrastructure to store and analyze the data. - Can I share Datamart data with other departments?
- Under the current Data Use Agreement, Datamart data may NOT be shared with other departments, divisions, or campus platforms without prior approval.

- No. The Finance Datamart is designed for application integration based on specific department use case requests.
- Does the Finance Datamart include UC Path data?
- No. The Finance Datamart is just for Aggie Enterprise data.
